Job Description
Definition:
Under the general direction of the California Construction Authority’s (CCA) Executive Officer, Project Coordinator will coordinate the management of the CCA construction projects and assist CCA’s Construction Project Managers.
Distinguishing Characteristics:
This is a journey level classification that assists the professional staff and is responsible for the more complex secretarial, clerical, and administrative work relating to construction projects. Incumbents are also expected to independently accomplish duties that involve exercising sound decision making and proper judgment. This class is distinguished from the Office Assistant in that the duties relate specifically to construction and contract compliance activities.
Examples of Duties:
-Serves as a liaison to the client fairs, communicates on a regular basis, answers questions and provides customer service.
-Prepares various solicitations, contracts, agreements, and construction documentation associated with the contracting process.
-Assists in coordinating the efforts of all entities involved in construction projects from design to closeout, including architects, engineers, consultants, contractors, subcontractors, laborers, inspectors, administration staff, etc.
-Compiles project financial data and prepares financial reports and analyses.
-Maintains master construction files for each project, including agreements, contracts, drawings, logs, and insurance certificates.
-Initiates, prepares and maintains agreement forms for contractors and other professional service companies and/or regulatory agencies.
-Works with contracted personnel including labor compliance officers, inspectors, and other CCA staff involved in construction projects.
-Assists with progress updates and informational notices.
-Participates in the development and implementation of project reporting systems.
-Performs tasks using software related to budgeting and scheduling, including databases, automated accounting systems, spreadsheets and word processing.
-Maintains appropriate review of prevailing wage reports, contractor invoices, change orders and/or work orders, respond to requests for certified payroll.
-Occasionally represents CCA in project meetings.
-Takes meeting minutes as requested.
-Responds to public records requests.
-Perform additional assignments and duties as needed.
Qualifications:
-EDUCATION AND EXPERIENCE: Any combination of training and experience which would provide the required knowledge and skill. A typical way to obtain the required knowledge and skill would be:
-Education: Possession of a Bachelor’s degree from an accredited four-year college or university with major course work in accounting, project management, business or public administration, or a closely related field.
-Experience: Four (4) years of increasingly responsible experience in the maintenance of financial and contractual documentation for capital improvement/construction projects.
-Licenses and Certificates: Possession and maintenance of a valid California driver’s license.
Able and willing to travel intra state and attend industry or other business related functions outside of normal business hours.
Communication and interpersonal skills desired.
– Salary: 66k – 90K / Year
